Who we are
This notice explains how Polar Axis Group Limited (company number 17516623, registered office 71–75 Shelton Street, Covent Garden, London WC2H 9JQ) uses personal data in connection with the Community Axis website. Community Axis is a Polar Axis Group company. We are the controller of that data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Personal data in the Community Axis platform itself, when it launches, will be covered by the platform's own privacy notice. Questions about this notice can be sent to contact@polaraxisgroup.org.
What we collect
- When you send an enquiry or email us: your name and email address, and if you give them, your phone number, the name and type of your group, its approximate size, what your enquiry is about, your message, and whether you would like news about the launch.
- When you visit the site: our hosting provider may automatically record technical information such as your IP address, browser type, the pages requested and the time of your visit, in standard server logs.
- Analytics, only if you accept: if you accept analytics cookies, Google Analytics, loaded through Google Tag Manager, records how you use the site, such as the pages you visit, how long you stay, the website that referred you, your approximate location and your device and browser. Google provides this service on our behalf.
This website uses Google Analytics only if you accept analytics cookies. It does not use advertising tracking or social media tracking, and nothing is shared with Google for advertising. Its fonts and images are served from our own website.
How we use it and our lawful basis
- To reply to your enquiry. Our lawful basis is our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.
- To send you news about the launch, if you ask us to. Our lawful basis is your consent, which you can withdraw at any time by emailing us or using the unsubscribe link in any email we send.
- To run the website and keep it secure. Our lawful basis is our legitimate interest in operating a secure and reliable website.
- To understand how the website is used and improve it, if you accept analytics cookies. Our lawful basis is your consent, which you can withdraw at any time using Cookie settings at the foot of the page.
- To comply with our legal obligations where they apply.
Who we share it with
We do not sell your personal data. We share it only with service providers who act on our behalf, such as our email and website hosting providers and, if you accept analytics cookies, Google, which provides Google Analytics; with other Polar Axis Group companies where that is needed to answer your enquiry; and with regulators, law enforcement or professional advisers where the law requires it.
Messages sent through the contact form are delivered to our inbox by FormSubmit (formsubmit.co), a form delivery service. FormSubmit receives the details you enter in order to send them to us and to send you a confirmation email.
International transfers
Some of our service providers, including FormSubmit and Google, may process data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum approved by the Information Commissioner.
How long we keep it
We keep enquiries for as long as we need them, and normally for no longer than 24 months after our last contact with you, unless we need to keep them longer for legal reasons. If you ask for launch news, we keep your details until you unsubscribe. Server logs are kept for the hosting provider's standard period. Google Analytics data is kept for no longer than 14 months.
Your rights
You have the right to ask for a copy of your personal data, to have it corrected or erased, to restrict or object to how we use it, and to ask for it to be transferred to you or another organisation. To make a request, email contact@polaraxisgroup.org. We will respond within one month.
Complaints
If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

What cookies are
Cookies are small text files that a website stores on your device. They are commonly used to make websites work, remember your preferences or measure how a site is used.
Cookies on this website
This website sets cookies only if you agree. When you first visit, we ask whether you accept analytics cookies. If you accept, Google Analytics (loaded through Google Tag Manager) sets the cookies below so we can see how people use the site. If you reject them, or don't choose, no analytics cookies are set and Google's tools are not loaded. We do not use advertising cookies.
- _ga: tells visitors apart so we can count them. Expires after 2 years.
- _ga_ followed by a code: keeps track of your current visit. Expires after 2 years.
We remember your choice in your browser's local storage, so we don't ask on every visit. You can change your mind at any time using Cookie settings at the foot of the page.
The Community Axis platform, when it launches, will have its own cookie policy.
Third-party services
Apart from Google Analytics, if you accept it, this website doesn't load anything from other companies' websites while you browse. When you send a message through the contact form, it is delivered by FormSubmit, which does not set cookies on this website. See our privacy notice.
Managing cookies
You can control and delete cookies through your browser settings. Guidance is available from the Information Commissioner's Office at ico.org.uk.
Changes to this policy
We will update this policy if the cookies we use change.
